Overview
The Senior Project Assistant provides advanced, professional administrative support in a complex and highly confidential environment. This position is based in Raleigh, NC. The role supports managers and project teams by handling routine administrative functions, enabling leadership to focus on strategic priorities. Success in this position requires initiative, a strong understanding of departmental operations and organizational structure, and the ability to effectively coordinate activities and communications across multiple teams. The Senior Project Assistant exercises sound judgment, discretion, and tact while supporting both operational and project objectives.
Your role
- Assist the accounting department by reviewing expense reports to ensure compliance with company policies.
- Provide phone support to inspectors submitting expense reports (travel, lodging, meals, and related costs) incurred during deployment to disaster-affected areas.
- Deliver timely, high-priority support in a fast-paced, deadline-driven environment where responsiveness and urgency are critical.
- Provide advanced administrative support, managing complex and confidential tasks with minimal supervision.
- Prepare special reports; analyze and consolidate data; and develop summaries for leadership review.
- Generate and compile reports from project accounting and reporting systems for supervisor analysis.
- Review and edit documents for accuracy, quality, and alignment with leadership expectations prior to approval.
- Draft correspondence and communications, including those involving technical or specialized subject matter.
- Track action items and follow up to ensure timely completion of commitments and deliverables.
- Initiate communication to coordinate services, resolve issues, and reduce administrative burden on leadership.
- Prepare a variety of documents, including reports, presentations, meeting minutes, expense reports, and organizational charts.
- Screen incoming communications, prioritize requests, and respond to routine inquiries or redirect as appropriate.
- Train and support administrative staff on processes, policies, and tools.
- Assist with proposals, contracts, presentations, and document control processes.
- Maintain well-organized project files (physical and electronic) and support paperless documentation initiatives.
- Create and maintain project schedules to ensure efficiency and usability for internal and external stakeholders.
- Monitor task budgets, track progress, and proactively alert project managers to potential risks or additional resource needs.
- Provide regular, meaningful updates to project managers on project status, timelines, and budget considerations.
- Perform additional duties as assigned to support team and organizational success.

About you
- High school diploma (or equivalent) with 10+ years of related experience, or an Associate's degree in a related administrative field with 8+ years of experience.
- Demonstrated ability to manage sensitive and confidential information with professionalism and discretion.
- Strong organizational, analytical, and problem-solving skills, with the ability to manage multiple priorities effectively.
- Excellent written and verbal communication skills, including strong grammar, spelling, and composition.
- High level of initiative, resourcefulness, and attention to detail.
- Ability to work independently, exercising sound judgment and effectively leveraging available resources and reference materials to meet client needs, including FEMA requirements.
- Proven experience interacting with senior leadership and external stakeholders in a professional and courteous manner.
- Financial or accounting background is preferred but not required.
- Proficiency in Microsoft Office Suite (Word, Excel, Access, Outlook, and PowerPoint).
- Ability to interpret and apply policies and procedures across a variety of situations.

Additional information
Expected compensation range is between $30.00 - $35.00/hour depending on skills, experience, and geographical location.
