Your role
- Supervise the daily operations within the property management function of a designated number of buildings, utilizing the Single Point of Contact methodology.
- Act as a liaison with Building Management, Landlord, Sub-Landlord, Sub-Tenant & Security of the main offices in the region.
- Assist FM with the preparation of bid invitations and coordination of bid submissions as per internal procedures.
- Supervise scheduling and completion of preventive maintenance and minor maintenance duties for both building and office equipment.
- Report on conditions, activities and problems to management, and respond to emergency situations.
- Ensure appropriate standards are developed and followed for continuous improvement and quality initiatives in service delivery to the occupants, Senior Management and the Landlord.
- Managing the interface between FM and user occupiers of key strategic sites across the region ensuring premises are fit for purpose and legally compliant.
- Provide advice and guidance to building occupiers, contractors, and support members of staff.
- Supervision of staff and contractors and a liaison role for other teams in FM and Property Services colleagues.
- Help with tracking and resolution of tenant requests received by the client ensuring that issues are addressed and resolved in a timely manner.
- Develop, lead and execute efficient and effective purchasing strategies based on Corporate Policies.
- Effectively manage Vendor Relationships to ensure smooth operations.
- Oversee office moves ensuring all critical deadlines are met.
- Perform and understand accounting procedures for invoice coding & payment processing.
- Participate in local HSE committees and provide RE input as required.
- Communicate effectively with clients, tenants and on-site associates to ensure any areas of concern are being addressed promptly and thoroughly.
- Act as back-up to and assists FM with budgeting, monthly variance reporting and tenant relations management.
- Enter and maintain all contacts/mailing lists in a central database & liaise with owner's Communications department.
- Ensure resources are available for meetings, including PowerPoint presentations and equipment, displays, handouts, meeting room and catering.
- Assist with health and safety initiatives and prepare documentation for staff training and event reporting.
- Assist with other areas of the Corporation as required.
- Participate in event planning process providing support with tasks related to Real Estate to the organizers.
- Perform ad-hoc administrative functions related to property management as assigned by FM.

About you
- Previous commercial real estate (property management) experience is an asset.
- 3-5 years of progressive experience.
- College Diploma or an equivalent combination of education and experience is preferred.
- Professional working English language proficiency (French an asset).
- Proficient in Microsoft Office Suite.
- Pleasant, positive, friendly and professional demeanor.
- Effective problem-solving skills and experience with de-escalation processes as they relate to property management concerns.
- High level of initiative, effort and commitment towards completing all assigned tasks.
- Ability to work with little or no supervision.
- Exceptional planning and organizational skills with the ability to prioritize and meet deadlines.
- Strong communication skills – verbal and written.
- Analytical and project management skills.
- Excellent team player.
- Ability to take appropriate action using judgment and initiative, but remain flexible and adaptable.
- Attention to detail with a focus on confidentiality.
Expected compensation for this role is (between Pay Range $80,000- $90,000 annually) (Only Applicable to British Columbia). Base salaries are determined according to several parameters like skills, experience, and potential impact on the role. Internal and external competitiveness are also taken into account in our offers.
